Docs For Tots is seeking a part-time or full-time Program Assistant based on Long Island
Organizational Description: Docs for Tots’ mission is to bring together children’s providers, parents, and communities to promote practices, policies, and investments in children from prenatal to age five that foster healthy development and future success. We create systemic, sustainable change in early childhood by influencing providers that directly impact children’s lives.
Program Description: Docs for Tots has a portfolio of early childhood mental health projects that help professionals implement best practices/proven models to enhance the support they provide to young children. Docs for Tots is seeking a Program Assistant to support our Infant Toddler Mental Health Team as we facilitate these projects. This position has confirmed funding through December 2026, with anticipated renewed funding.
Qualifications and Characteristics: We seek an enthusiastic and articulate individual who is comfortable interacting in person, on the phone, and via email communications.
Candidates must possess the following skills:
- Exceptional administrative, organizational, problem-solving, and project management skills
- Proven ability to work independently and identify barriers to success
- Detail-oriented and can prioritize multiple tasks
- Strong computer skills, including knowledge of SharePoint/OneDrive, with skills in Excel, Word, PowerPoint, as well as Adobe Pro, and Canva, data entry, web navigation, and e-communication needed. Comfort with social media is a plus.
- Excellent written and oral communication skills
- Ability to establish effective work relationships with different types and levels of professionals.
- Access to a cell phone, reliable insured personal transportation, and a valid driver’s license
- The ability to travel to locations across Long Island and other locations in New York City as needed
- Bilingual English/Spanish a Plus
Most work will be completed at our Roslyn office, with some virtual work. Mandatory Monday and Thursday hours in Roslyn, and occasional evening and weekend meetings will be required as needed.
Responsibilities:
- Review, print, collate, and maintain materials/documents as necessary for implementation
- Schedule and prepare for program meetings, including calendar management, agenda distribution, minute-taking, and minute distribution
- Assist in the dissemination of projects through staff meetings, community events
- Coordinate stakeholder meetings and training
- Assist the supervisor in establishing meaningful partnerships with relevant agencies and staff
- Assist staff in providing technical assistance to partners, including scheduling and follow-up
- Assist with the implementation of Docs for Tots’ other projects as needed
- Communicate with partners (stakeholders and parent leaders) – via email, phone, and e-newsletters
Start Date: Immediate
Salary: $20-$24/hour, commensurate with experience

Environmental Factors and Physical Requirements: While performing the duties of this job, the candidate is required to have ordinary ambulatory skills sufficient to visit other locations and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-25 pounds. Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp and visual acuity to use a keyboard, operate equipment, and read application information. The candidate frequently is required to sit, reach with hands and arms, talk, and hear. Regularity and consistency of attendance are essential to ensure high-quality service and ultimately a productive program. NOTE: To perform this job successfully, an individual must be able to perform each essential job function satisfactorily.
