Administrative Assistant
Are you organized, personable, and passionate about making a difference? The Jar Community Church is seeking an Administrative Assistant to help our team thrive behind the scenes. In this role, you’ll play a key part in supporting our pastor and staff, coordinating events, managing communication, and keeping things running smoothly — all while being part of a fun, purpose-driven environment where your work truly matters.
Essential Duties and Responsibilities
1. Establish and maintain an effective working relationship with the Senior Pastor and staff.
2. Manage the Senior Pastor’s calendar and schedule appropriately screening calls and arranging appointments, meetings and conferences, as directed.
3. Research and coordinate various activities and details associated with meetings, retreats and business trips (retreat center and meeting location reservations, meal catering for meetings, reservations as designated by Senior Pastor or staff).
4. Manage expenditures of the office against the administrative budget (office supplies, postage, etc.).
5. Provide monthly expenditure documents to the finance director (receipts etc.).
6. Receive and respond to visitors, phone calls, texts, and emails in a professional manner recording clear and accurate messages as required.
7. Set-up and maintain paper and electronic files of the office so that the information contained in the files is easily accessible and well organized.
8. Enter weekly financial contributions and distribute financial information as directed.
9. Recruit, train, and oversee office volunteers.
10. Maintain a clean and organized office.
11. Presents self in a professionally dressed and well groomed manner.
12. Fulfill the staff covenant and work toward becoming a partner.
13. Manage appropriate information and files of the Senior Pastor with absolute discretion and confidentiality.
14. Communicate accurately the vision and values of The Jar and Senior Pastor as a whole.
Qualifications Education:
Required: High school diploma along with essential experience and skills as listed in job description.
Preferred: Associates Degree in Administration Essential Experience:
● Minimum 2 years experience in a secretarial role or as an Administrative Assistant.
● Demonstrated discernment skills regarding highly confidential matters.
● Proven ability to handle deadlines and abrupt re-prioritization (be flexible).
● Excellent written and verbal communication skills.
● Demonstrated ability to handle an intense environment calmly.
● Demonstrated fluency with Microsoft Word, Excel, Power Point, and Publisher.
● Demonstrated experience with data management.
● Demonstrated 50 WPM typing skills. Preferred Experience:
● Minimum of five years experience as an Administrative Assistant in a church or business setting. Essential Qualities
